Key Qualities & Responsibilities

AUDITOR

  • DAILY
  • To check:
  • Ensure that staff leave calendar is updated
  • Opening and closing of branch daily
  • Ensure alarm is working
  • Lights are off
  • Ensure work place is clean and tidy
  • Endure that vehicle inspected daily by warehouse supervisor
  • Ensure that toll and fuel slips are updated weekly and sent to Head office
  • Ensure that bin locations marked correctly, stock in correct bins and bin locations and Taly correspond
  • All open crates need safety straps to prevent glass falling
  • Drivers are on the vehicles and checking invoices for correct items while loading
  • Invoices are signed off by picker, supervisor and driver
  • Ensure broken / damaged stock is written off
  • Write off and RFC reports need to be sent to Head Office
  • Write offs and RFC’s to be done daily
  • Write offs to be kept in write off bin with original invoice attached
  • Sales figures to be sent to Tanya de Beer(Admin) by 08:00 the following morning
  • Anything that needs to be fixed of replaced, 3 quotes need to be sent to Bronwyn Wood
  • Ensure all invoices, credit notes and all other filing is completed on a daily basis
  • Ensure that all orders are loaded onto the Tom-Tom before delivery departs
  • Day end is completed and emails to Tanya de Beer
  • RFC and write off report sent to Hendrick Stroebel
  • Make sure petty cash balances and sign off
  • Ensure sales staff fill in their call sheets and send through to Hendrick Stroebel daily
  • Comment on unpaid COD invoices and customers phoned, sent to Head Office
  •  
  • TO DO
  • Time management clocking to be checked and signed
  • Check stock levels and order accordingly
  • Oversee daily sales to reach daily targets
  • Check staff uniform compliance
  • Check petty cash balances
  • Sign and check credit notes
  • Sign write offs
  • Banking to be signed and checked
  • Ensure all cameras are working on computer and cell phone
  • Ensure banking and receipting done and signed off
  • WhatsApp sales figures on groups Daily
  • Sort out all customer and staff enquiries
  • All purchase and GRV’s captured and creditors invoice signed by Manager
  • Sent RFC details to Hendrick Stroebel
  • All staff are at their stations at 08:00am from Monday to Thursday and 07:30am on Friday
  • Ensure staff do not leave their stations before 05:00pm from Monday to Thursday and 04:30pm on Friday
  • Ensure all staff taking smoke breaks do so during tea time and lunch hour and clock out accordingly
  • Written warning is issued if a staff member arrives late more than 3 times in a month (no commission will be paid if so)
  • Ensure each and every driver is on the vehicle then it is being loaded. Should this not happen a written warning will be issued.

  • To check:
  • Ensure that each sales person or branch manager visits 5 customers
  • Ensure that customer visit reports are submitted on WhatsApp group
  • Send weekly stock orders to Hannes vd Walt and Elizma Lourens
  • Ensure the branch has adequate invoice/ credit note/ driver log books etc., stationary, cleaning materials and staff refreshment groceries
  • Ensure that all clients that have outstanding payments are phoned regularly to receive payment
  • Ensure the fuel report is sent to creditors@windscreendistributors.co.za by Friday
  • All glass is wrapped in plastic
  • Ensure that leave roster is updated
  • Send Hannes vd Walt all new part enquiries every Friday

  • Comment on unpaid COD invoices and send to Yolandi Marais by 10:00am every Monday
  • Check the debtors report is completed and sent to Yolandi Marais by 10:00am on Tuesday
  • Absenteeism, late coming and early  departure for the previous week to be sent to HR by Tuesday 10:00am
  • Tracker and vehicle inspection reports for the week emailed to dispatch@windscreendistributors.co.za by the end of the week.
  • Print debtors buying status and analyze for customers that are down on purchases
  • Debtors buying status I point  5 above sent to Head Office
  • Have  a sales staff meeting to discuss all issues

  • MONTHLY
  • To check:
  • Statements are sent to customers by the 1st working day of the month
  • TO DO
  • Month end reports on the last day of the month and sent to Mark Botes, Hendrick Stroebel & Chris Willis & cc Bronwyn Wood
  • Overtime spreadsheet done and sent to HR
  • Creditors file checked for completion and accuracy and signed off by the 1st working day of the next month
  • All fuel and tollgate slips checked and balanced to Wes bank Auto Report and sent in creditors file to Head Office
  • Need to ensure that all staff are given monthly targets and these targets are signed for by the respective sales staff and all records filed for branch audit
All branches supplying other branches to ensure that:
  • All orders  invoiced and packed correctly to avoid breakages
  • These orders are executed timeously
  • These orders are sent via the correct courier timeously
  • Ensure that at all staff job descriptions are up to date and staff are aware of their responsibilities
  • Check debtors to ensure that credit limits do not need to be increased
  • WhatsApp month end figures as per daily WhatsApp figures except the month totals must be Whatsapped
 
  • ADHOC
  • GRV and check stock when received
  • Ensure that vehicles are serviced every 10 000 km
  • Copies of all creditors invoices sent to Bronwyn Wood the day they received and the original goes into the month end creditor files
  • All petty cash slips signed by manager and submitted as per petty cash policy
  • All managers to know all the procedures and how to action them accordingly
  • To ensure that guards are changed at least every six months preferably between 4 to 6 months. No guard under any circumstance will spend more than 6 months at a branch

  • SALES REPRESENTATIVE
  • Establish, develop and maintain positive business and customer relationships
  • Reach out to customer leads through cold calling
  • Coordinate sales effort with team members and other departments
  • Supply management with reports on customer needs, problems, interests, competitive activities, and potential for new products and services.
  •   Must have at least 3 years experience in the Automotive Glass Distribution industry & have relevant qualifications

Jet Park Branch Graphic Designer required

Key Qualities & Responsibilities

 WEB: 

  • Maintenance & Upgrade including writing, web page designing and editing content & updating images on the company website
  • Creating Backups, Solving code problems, Determining technical requirements
  • Daily Taly WD Shopping Basket Quantity updates every 3 times a day 5 hours apart
  • Stock photography taking and uploading onto Taly & website
  • Creation of social media content to upload daily
  • Website design, upload, and coding PHP language
  • Extensive Knowledge of WordPress, HTML & CCS

  PRINT:

  • Liaise with Managerial Executives to accomplish the final required artwork.
  • Reproduction and Creation of Advertising & Office Print documents: Calendars, Flyers, Brochures, Posters, Booklets, forms, product promo branding  & packaging, business cards, certificates creating & maintaining of company premises & vehicle branding.
  • Maintain and updating of the companies’ Organogram
  • Maintain & updating company branding to logo to stationery & paginating of company booklets
  • Prepare artwork to be accomplished by gathering information and materials.
  • Plan concepts by studying information & materials.
  • Create a rough layout of art and copy regarding arrangement, size, type size and style, and related aesthetic concepts before working towards the approved layout.
  • Prepare final layout by marking and pasting for print.
  • Submit accomplished & approved projects to printers in printing format
  • Maintaining technical knowledge by attending design workshops; reviewing professional publications; participating in professional societies.
  • Contribute to team effort by accomplishing related results as needed.
  • must have extensive knowledge of Adobe Suite or any other Graphic Design software

Selby Branch Warehouse Supervisor required

Key Qualities & Responsibilities

  • Clock in and out daily.
  • Assist with customer queries and uphold WD standards and policies.
  • To be polite and professional towards all customers.
  • Open warehouse gates in the morning and ensure that gates are locked before going home.
  • Check that the security guard is on duty and performing the correct tasks.
  • Check that bakkie are in place to load and offload.
  • Inspect vehicles daily and complete inspection sheet supplied by WD Management.
  • Check each glass a second time before loading/dispatching. Supervisor to sign on an invoice at “checked” box.
  • Make sure that invoices have COD and security stamps on them.
  • All special instructions to be marked in marker / HIGHLIGHTED
  • Inform staff on what bakkie to load.
  • When finished loading glass, complete trip sheet hand to driver and security guard to sign.
  • All invoices to be recorded in the security book.
  • Sort out problems that might arise.
  • Assist with the offloading of containers.
  • Check and investigate for damaged glass and report to management.
  • Assist to load the Tom-toms.
  • Double-check that the invoices on the log sheet are in sequence for route optimization.
  • Assist in sorting out the drivers, if unsure ask management.
  • Take up the task as a driver when needed, you will be informed by management.
  • Make sure that staff is wearing the correct uniforms.
  • Inspect the glass properly for any defects, chips, or scratches. Pay close attention to the sensors and wires.
  • Dismantling empty crates and keeping the outside area clean.
  • Assisting with stock takes.
  • Make sure at day end that WD vehicles are either in the warehouse or undercover parking.
  • Helping out in the warehouse when requested by the manager.
  • Assisting management with various other duties they might request to be done.
  • Ensure warehouse and office lights are switched off at end of the business day.
  • Ensure that vehicles are cleaned on Saturdays and kept free of rubbish inside the vehicle.
  • Ensure that vehicles are maintained and serviced as per schedule. Keep a record of all services.
  • Must have at least 3 years experience in the Automotive Glass Distribution industry & have relevant qualifications
